Position Title: Church Database Administrative Support
• Prepared Date: April 2023
• Position Title: Church Database Administrative Support
• Reports To: Office Manager
• Time Commitment: 32 hours weekly
• Hourly Pay Range: $17 to $22 per hour
• Purpose of position: This individual is responsible for providing support for our church management software (Planning Center Online – PCO), data integrity, and secondary reception support.
PCO Administrative Support Duties and Responsibilities:
• Follow up on all email and voicemail messages in a timely manner; email and communicate
details to staff and volunteers
• PCO Calendar oversight
• PCO Registration oversight
• PCO Groups oversight
• PCO Check-ins oversight
• PCO Services oversight
• Training-new and ongoing
• Permissions -review and new hires
• A&D List
• PCO Data Integrity processes (new profiles, merging duplicates, confirming contact
information, guest inactivation)
• CPK Data Integrity processes(post-Sunday updates, new profiles, etc.)
• PCO automated follow-up processes (owners, regular attenders, first-time guests)
• Outside events( weddings, outside groups; including data input and interdepartmental
communication)
• Website integration with Church Center(publishing)
• Learn and grow in the use of Planning Center Online (PCO)
• Maintain the PCO database through profile management and data integrity
• Work with the Office Manager to maintain, create, and implement best practices and
policies for using the tools in PCO
• Secondary Reception Support: *These duties to be performed when the Lead Receptionist is unavailable or as needed.
• Open/close switchboard each day
• Place signs on entry door for holidays, staff meetings, etc.
• Responsible for answering and forwarding all incoming calls
• Send messages via email, information that cannot be forwarded by phone/voicemail follow
up or forwarding messages
• Receive and forward emails from “Info” mailbox
• Accept deliveries and emailing recipient
• Greet and screen guests who drop in for assistance or appointments
• Provide a warm and professional environment in the reception area
• Learn the process and features of the phone, voicemail systems and door intercom system
• Monitoring outgoing mail
• Deacon Fund applications and scheduling
• Mail pick-up at post office each Monday and Wednesday morning
• Distribute mail and assist with bulk mailings
• Perform weekly/monthly proofing duties as needed
• Be knowledgeable of all events and on-going ministry details
• Additional Responsibilities:
• Continually improve in necessary skills and knowledge of the position
• Attend all required staff meetings
• Problem-solve with volunteer leaders/staff members to resolve conflicts or issues, as soon
as they arise
• Maintain the highest level of confidentiality

• High degree of discretion dealing with confidential information whether written or verbal
• Sensitive to the needs of people and provide a caring attitude

• Proficient computer skills in Microsoft Office Suite and Adobe

Position Title: Finance Associate

• Reports To: Pastor of Operations
• Time Commitment: 32 hours weekly
• Hourly Pay Range: $18 to $24 per hour
• Purpose of position: To support all ministry areas by processing requests/invoices for payment. It is the goal of this position to process all invoices in a timely manner according to vendor terms. By paying our bills on time we represent Christ and His church in a positive light to our community. This position will also be responsible for all stewardship functions.
A/P Responsibilities:
• Process all requests/invoices daily. Confirm that necessary information and approvals have been obtainedfor all checking account funds
• Obtain W9’s and Liability Certificates on all required vendors for 1099’s
• Process EDD-DE542 as needed
• File and manage documentation regarding sales tax and fixed assets purchases monthly
• Monitor church credit card expenses and monthly reconciliation
• Complete A/R processes for rental properties, utility disbursements and reconciliation
• Petty Cash Disbursement and Reconciliation
• Cross-train and provide backup support to different areas of Business Office as needed (Accounting,Banking, Stewardship)
• Annually – Complete and file 1099s by January 31, Migrate working A/P files into long-term storage after year-end, Provide support for year-end closing and yearly audit
Stewardship Responsibilities
• Work with Pastor of Operations on giving/stewardship matters
• Process weekly tithes and offerings
• Input commitments annually and adjustments as necessary
• Research and contact donors regarding failed electronic transfers, rejected checks and unclear funddesignation
• Process quarterly and yearly giving statements, then prep and mail
• Process year-end giving and work with Comm department to communicate
• Process non-cash contributions and IRA distributions and stock gifts
• Provide support with GoMethod (mission trip online platform)
• Resolve contribution statement problems/changes with donors
• Assist Pastor of Operations with giving reports/analysis/stewardship budget
• Communicate memorial gifts with families as necessary
• Administrate fall and capital stewardship campaigns at the direction of Pastor of Operations
• Order giving envelopes quarterly, update bi-monthly
• Recruit and train volunteers

Professional Qualifications
• Basic computer literacy, including use of the following platforms and applications
• Windows operating system, including logging on/off, accessing applications
• Web browsers, such as Microsoft Edge, Google Chrome, and/or Mozilla Firefox
• Microsoft Excel (spreadsheets), preferably including the basic use of formulas and pivot tables
• Microsoft Outlook (email), including sending/receiving emails, working with meeting invites
• Microsoft Word including drafting and editing written documents
• Two years minimum experience in computerized accounts payable procedures, preferably QBO
• Good understanding of general ledger is highly desirable
• Orientation toward detail and high-accuracy
• Professional demeanor, positive and amicable with church staff
